Reading in STEM Night with Koding Kids

Overview:
​The Reading in STEM Night is a special event designed to engage students and their families in interactive STEM (Science, Technology, Engineering, and Math) activities with a focus on reading and coding. The event will feature hands-on learning activities using the Koding Kids curriculum, as well as a variety of other interactive stations that integrate reading, coding, and other STEM disciplines.​

Objectives:​
1. To encourage students and parents to explore the connections between reading, coding, and other STEM disciplines.
​2. To provide hands-on learning experiences for students and their families.​
3. To foster a sense of community among students, parents, teachers, and school staff.​

Planning Timeline

8 - 12 Weeks Before the Event:
  • ​​Develop a detailed schedule for the event, including the timing of each activity and the location of each station.​
  • ‍Create a list of materials and supplies needed for each activity.​
  • Recruit volunteers (teachers, parents, students) to help with the setup, operation, and cleanup of the event.​
  • Begin promoting the event to students and parents through newsletters, flyers, school website, and social media.​​
6 - 8 Weeks Before the Event:​​
  • Set a date and time for the event.​
  • Confirm the availability of the school facilities needed for the event.​
  • Contact Koding Kids team, if requesting an author/artist to confirm their availability and to discuss the specific activities they will be leading.​
  • Develop a preliminary budget for the event, including costs for refreshments, materials, and any other expenses.
4 - 6 Weeks Before the Event:
  • Confirm the final budget for the event.​
  • Order or purchase any necessary materials and supplies.​
  • Confirm the final schedule and the list of volunteers for the event.
  • ​Send a reminder about the event to students and parents, and request RSVPs to get an estimate of the number of attendees.
2 - 4 Weeks Before the Event:
  • Hold a meeting with all volunteers to review their roles and responsibilities, and to discuss the setup and operation of each activity.
  • ​Confirm the final details with Koding Kids, including the number of attendees, the schedule, and any special requirements.
  • ​Confirm the arrangements for refreshments, including any necessary permits or approvals.
1 - 2 Weeks Before the Event:
  • Send a final reminder to students and parents, including the schedule of activities and any other important information.​
  • Confirm the final arrangements for the setup and cleanup of the event, including the arrival time for volunteers.
Day Before the Event:
  • Set up the event space, including the arrangement of tables, chairs, and activity stations.​
  • Test all equipment and materials to ensure they are in working order.​
  • Confirm the final details with all volunteers, including their arrival times and assignments.
Day of the Event:
  • Arrive early to complete any final setup and to ensure that all stations are ready for operation.​
  • Hold a brief meeting with all volunteers to review their assignments and to address any last-minute questions or concerns.​
  • Greet attendees as they arrive and provide them with a schedule of activities and a map of the event space.
  • ​Monitor the event to ensure that all activities are running smoothly and that all attendees are having a positive experience.​
  • Take pictures and celebrate the event on Social Media. ​
  • Offer prizes for the most engagement on Social Media.
  • ​Thank the attendees for coming and encourage them to provide feedback on the event.
